A laid-out PDF covering the nine sections evaluators look for: company overview, registration and compliance, relevant experience, key personnel, methodology, health and safety, B-BBEE, why choose you, and a signed declaration — plus an annexure index lettered to match what you actually hold. Your logo on the cover, the buyer and tender number on the front page. This is the one you attach to the bid.
2. Your pre-submission check
A private one-page report on anything that could make your bid non-responsive. Not for the evaluator — for you. Never attach it to a bid.

A document that expires before the closing date
A tax compliance PIN that's valid today but expires the day before the tender closes will fail responsiveness. We check every expiry date you give us against that tender's actual closing date — not against today.
B-BBEE evidence that doesn't match your size
A sworn affidavit is fine for an exempted micro enterprise at any ownership. A qualifying small enterprise below 51% black-owned needs a SANAS-accredited certificate — an affidavit there can get the bid rejected as non-responsive, before scoring even starts. We check your turnover and ownership against the evidence you're relying on and tell you if it doesn't hold.

What we never do
Nothing in your profile is invented. Not a past contract, not a reference, not a registration number, not a date. If you leave a section blank it's left out of the document and flagged on your check sheet. You sign a declaration over this profile — so every word in it has to be yours.
Questions
What is a company profile for a tender?
It's the document that introduces your business to the evaluation committee: who you are, your registrations and compliance, your relevant experience, the people who will do the work, and how you'll deliver it. Almost every South African government tender asks for one as a returnable document, and a thin or missing profile costs you marks in the sections that are actually scored.
How is this different from the template in the toolkit?
The toolkit gives you a template and a worked example — you read it, then write and format your own profile. This is us building the finished document from your details, so you get a laid-out PDF you can attach to a bid the same day. If you'd rather write it yourself, the toolkit template is the cheaper route and it's genuinely good.
What is the pre-submission check?
A second, private document listing anything in what you gave us that could make your bid non-responsive — most often a certificate that expires before the closing date, or B-BBEE evidence that isn't valid for your enterprise size. It's for you and your team only. You never attach it to a bid.
Do I have to send you my certificates?
No. We ask for reference numbers and expiry dates, never the documents themselves. You attach your own certificates to your bid as annexures — we just make sure the profile references them correctly and warns you if a date is a problem.
Can I use it for more than one tender?
Yes, and you should regenerate it per bid. A profile that names the buyer, the tender number and the closing date reads as written for that tender, and it lets us check your expiry dates against that specific closing date.
What if I have no past contracts yet?
Then we leave that section out rather than inventing one, and the check tells you so. Nothing in your profile is ever made up — every word comes from you. For a new business the honest route is to lean on your directors' own experience, your people and your method, which the profile has sections for.
How long does it take?
The form takes about ten minutes if you have your registration numbers to hand. We build and email both documents to you after that.
